Privacy Policy

Effective September 18, 2026

This Privacy Policy explains how Vetellex (“Vetellex,” “we,” “us,” or “our”) collects, uses, discloses and protects information when veterinary clinics and their authorized personnel use our websites, mobile applications and related services (collectively, the “Services”).

1. Information we collect

We may collect:

  • Account information: name, email address, telephone number, mailing address, clinic affiliation, role and authentication information.
  • Clinic and operational information: client and animal information, visit details, locations, treatment orders, cage-card entries, vital signs, staff tasks, schedules, messages and audit activity entered by authorized users.
  • Technical information: device type, application version, IP address, browser information, push-notification identifiers and diagnostic or security logs.
  • Communications: support requests and other messages sent to us.

2. How we use information

We use information to provide and secure the Services; authenticate users; support clinic workflows; deliver transactional email and push notifications; troubleshoot errors; maintain audit trails; respond to support requests; prevent abuse; and comply with legal obligations.

3. Clinics control their data

Veterinary clinics determine what operational information is entered and which personnel receive access. Users should direct requests concerning clinic-controlled records to their clinic administrator. Vetellex may act as a service provider to the clinic when processing that information.

4. How information is shared

We do not sell personal information. We may share information with:

  • The clinic and authorized users associated with the relevant clinic workspace.
  • Service providers supporting hosting, infrastructure, email delivery, push notifications, security and error monitoring.
  • Authorities or other parties when required by law, necessary to protect rights or safety, or involved in a legitimate business transfer.

Service providers are permitted to process information only for the services they provide to us, subject to their applicable terms and safeguards.

5. Data security

We use administrative, technical and organizational safeguards designed to protect information, including encrypted network connections, access controls, role-based permissions, audit logging and production monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Retention and account deletion

We retain information for as long as reasonably necessary to provide the Services, maintain clinic and audit records, resolve disputes, enforce agreements and meet legal obligations. Users may delete their account from account settings in the Vetellex mobile or web application. Deletion immediately revokes access and removes or anonymizes the user’s personal profile information. Historical treatment, cage-card, task, message and audit records may be retained for clinic recordkeeping, safety, continuity of care and legal obligations, with the author identified as a former employee. Retention of clinic-controlled records may also be directed by the participating clinic.

7. Your choices

Users may update certain profile information or delete their account inside Vetellex. Clinic administrators may also deactivate an account to prevent access. Users may contact their clinic administrator or chris@vetellex.com for assistance with access, correction or deletion requests. You may disable push notifications in your device settings, although doing so may prevent operational alerts. Transactional messages necessary for account security or service operation may still be sent.

8. Children

The Services are intended for veterinary professionals and clinic personnel and are not directed to children under 13. We do not knowingly collect personal information directly from children through account registration.

9. Third-party links and services

The Services may contain links to third-party services. Their privacy practices are governed by their own policies, and Vetellex is not responsible for those practices.

10. Changes to this policy

We may update this Privacy Policy as the Services evolve. We will update the effective date and provide additional notice when reasonably appropriate.

11. Contact us

Questions or privacy requests may be sent to chris@vetellex.com.
